This document details the workflows for each staff role in iHospita HMS.


Receptionist Workflows

Morning Setup

  1. Log in to Portal
  2. Review today's appointments
  3. Prepare reception area
  4. Start accepting patients

Patient Check-in

  1. Search for patient (phone/ID)
  2. If new → Register patient
  3. If existing → Verify information
  4. Select doctor
  5. Generate queue number
  6. Direct patient to waiting area

Appointment Management

  1. Open appointment calendar
  2. Check doctor availability
  3. Book appointment slot
  4. Confirm with patient
  5. System sends confirmation email

Doctor Workflows

Start of Day

  1. Log in to Portal
  2. Review today's queue
  3. Review scheduled appointments
  4. Begin consultations

Patient Consultation

  1. Call next patient from queue
  2. Review patient history
  3. Record chief complaint
  4. Conduct examination
  5. Record findings (SOAP notes)
  6. Make diagnosis (ICD-10)
  7. Create prescription (if needed)
  8. Order lab tests (if needed)
  9. Complete consultation
  10. Call next patient

Lab Result Review

  1. Receive notification of results
  2. Review lab results
  3. Contact patient if critical
  4. Update treatment plan

Nurse Workflows

Patient Vitals

  1. Call patient from queue
  2. Record vital signs:
    • Blood pressure
    • Temperature
    • Pulse
    • Weight
    • Height
  3. Note any concerns
  4. Return patient to queue

Assist Consultation

  1. Prepare examination room
  2. Assist doctor as needed
  3. Document additional notes
  4. Prepare next patient

Cashier Workflows

Payment Processing

  1. Search for patient
  2. Review pending invoices
  3. Verify services/items
  4. Apply discounts (VIP auto-applied)
  5. Select payment method
  6. Process payment
  7. Print receipt
  8. Points automatically added

Daily Reconciliation

  1. Generate daily collection report
  2. Count physical cash
  3. Compare with system total
  4. Record any discrepancies
  5. Submit reconciliation

Lab Technician Workflows

Sample Collection

  1. View pending orders
  2. Call patient
  3. Collect sample
  4. Label sample
  5. Record collection time
  6. Send to processing

Result Entry

  1. Process test
  2. Enter results
  3. Compare with reference range
  4. Flag abnormal values
  5. Submit for review
  6. Notify doctor if critical

Dispensing

  1. View pending prescriptions
